Saved Check-in Information

Collect one reusable detail (vehicle, student, truck, apartment…) once and attach it to every ticket automatically.

Many businesses need one extra detail from a customer every time — a vehicle, a student name and grade, a truck number, an apartment, a pet's name. Saved Check-in Information captures that one detail, remembers it, and attaches it to every ticket automatically. It's completely generic — you decide what it means.

It's off by default. Turn it on per location when you need it.

Set it up (Location Admin)

  1. Open your location, select Settings, and expand Saved Check-in Information.
  2. Turn on Enable.
  3. Fill in:
    • Label — what to call it, e.g. Vehicle Information, Student Information, Truck Information.
    • Instruction — a short line telling the customer what to enter.
    • Shared acrossThis Location (each location keeps its own) or Entire Business (one record shared by every location — only available when the location belongs to a Business).
    • Required — if on, a check-in can't be completed until the information exists.
  4. Choose how it's provided — Self, Assisted, or both (below), then Save.

Two ways to provide it

Self — the customer enters it

When Self is on, the check-in form shows your Label + Instruction and a box for the detail. The customer types it once; on future check-ins it's reused automatically (they can leave it blank to reuse, or edit it). Signed-in customers see theirs pre-filled. Customers can always review and change it from their status page.

Assisted — staff look it up by an identifier

Some businesses would rather staff create the ticket — schools with a car line, truck yards, secure sites, or anywhere customers shouldn't be on a phone. When Assisted is on, staff use a Lookup Identifier you define (set its label under Lookup Identifier label, e.g. Pickup number, Truck tag, Badge #).

On the Walk-in screen a staff member types the identifier (e.g. 427):

  • If it's on file, the saved detail is attached to the new ticket instantly (name and phone are optional in this mode — the identifier is the key).
  • If it's new, staff type the detail once; that identifier now remembers it for next time. Your list builds itself as you go.

What everyone sees

  • On the ticket — the detail shows right on the dashboard card and the ticket page, with a colored highlight so it's easy to spot at a glance (e.g. "Student Information · #427 — Emma Smith, Grade 2"). The ticket then moves through your queue exactly as usual.
  • Editing later — staff can add or edit it from the ticket or the customer's profile; customers can edit theirs from their status page. Each ticket keeps a snapshot taken at check-in, so correcting the saved information later never changes past tickets.

Notes

  • It's separate from notes — notes are per-ticket; Saved Check-in Information is reusable and auto-attached.
  • Information stays within your Location, or your Business if you chose that scope — never across unrelated businesses.
  • It's one free-text box today. Start simple; you can always change the Label, Instruction, or scope later.
