One shared QR for all your rooms
Post a single code where people arrive; everyone joins one line and is assigned whichever room frees first — first come, first served across all of them.
Requires Location Admin to turn on or off; any staff member can assign rooms to people waiting on it
What it does
By default each room has its own QR and its own line. If your rooms are interchangeable — three identical study rooms, four loaner laptops — turn on the shared QR: one code, one line, and each person is assigned whichever room frees first. Their phone tells them exactly which room is theirs the moment it's assigned.
Turn it on
- Open the rooms setup page: Rooms & equipment in the sidebar (classic menus) or Set up → Rooms & equipment (Queue screen).
- Under "One shared QR for all of them?" select Enable shared QR (classic menus) or Turn on shared QR (Queue screen).
- Print it: the shared card's QR links to its print page (QR & print → / Sign & QR →), and it's also the first page of Download all door signs (PDF). Post it where people arrive.
On Queue-screen locations, your main entrance QR also offers First free room on its What would you like? screen while the shared QR is on.
How the lines mix
Per-room codes keep working. The queues merge fairly by arrival time: whoever checked in first is next, no matter which code they scanned — and someone waiting for a specific room is never moved to a different one.
Staff can hand a specific room to someone in the shared line: on the live rooms page (Rooms & equipment on classic menus, Live → Rooms on the Queue screen), the Waiting for any room list lets you pick a free room and select Assign.
Turn it off
Use Disable shared QR (classic menus) or Turn off shared QR (Queue screen). Anyone still waiting on it is cancelled and notified; the per-room codes are untouched. Turning it back on (Re-enable shared QR / Turn on shared QR) brings back the same code, so printed posters still work.
