Invite your team

Invite teammates by email, change their role or remove them, and how shared front-desk logins sign in.

Requires Location Admin

  1. Open the team settings:
    • Classic menus: Settings, then the Team members section.
    • Queue screen: Set up → Team & logins (it opens Settings on the Team & logins tab).
  2. Enter the teammate's email under Invite by email, pick their role (Staff or Admin), and select Send invite.
  3. They get an email link that's valid for 7 days. They open it and sign in (or create a free account) with that same email address, then select Accept invitation. They land straight in your location.

Invites waiting to be accepted are listed under Pending invitations, each with Revoke.

Change a role or remove someone

Each member in Team members has a role picker (Staff / Admin) and a Remove button. Invites never grant Owner — only an Owner can make someone an Owner (from the same picker), and only an Owner can change or remove another Owner. A location always keeps at least one Owner. You can't change your own role. See Roles & permissions for what each role can do.

Shared front-desk logins

You can't create new shared username/password logins — invite each person by email instead (actions and notes are then attributed by name). If your location already has older shared logins:

  • They sign in at /pre/login with the business code, username and password. Your location's staff sign-in link fills in the code, so only the username and password are typed. On the Queue screen, it's the Staff sign-in card under Set up → Screens & signs (Open ↗, Copy link, or scan its QR to open it on a shared tablet). Sign out returns to the same page.
  • An Admin can set a new password (8+ characters) under Username & password logins, in the same team settings — only for logins with a lower role than their own (an Owner can reset any). This section only appears when such logins exist.

Common invite problems

  • "The invitation link doesn't work" — invites expire after 7 days, work once, and stop working if revoked. Send a fresh one.
  • "This invitation is for … but you're signed in as …" — they're signed in with a different email than the one you invited. They should select Sign out, then sign back in with the invited email — or you can invite the address they actually use.
  • No email arrived — check spam, confirm the address under Pending invitations, and send it again. Sending many invites quickly is briefly paused ("Too many invites — please wait a few minutes").
